ITAD Vendor Checklist | Synetic Technologies

Short answer: choose an ITAD vendor that holds current NAID AAA and R2v3 certifications, documents chain of custody from pickup to final disposition, gives you serial-level reporting and a Certificate of Destruction, and shares resale revenue with you. Verify each item. Do not take it on faith.

The 12-point ITAD vendor checklist

Security and compliance

  1. NAID AAA certification for data destruction. Check the certificate is current.
  2. R2v3 certification for responsible recycling and reuse.
  3. ISO 9001, ISO 14001 and ISO 45001 for quality, environmental and safety management.
  4. Destruction methods that follow NIST 800-88 for wiping, with physical shredding available for drives that fail a wipe.
  5. Onsite or offsite options, so regulated data can be destroyed before it leaves your building.

Chain of custody and reporting

  1. Secure transport in vendor-operated vehicles, not a third-party freight hop.
  2. Serial-level reporting that reconciles what you shipped against what was processed.
  3. A Certificate of Destruction for every project.

Value and service

  1. A resale-first model with a clear revenue share, not recycling by default.
  2. Transparent settlement with line-item pricing.
  3. A plan for remote employees: prepaid return kits for devices outside the office.
  4. References from organizations of your size and industry.

Red flags

  • Certifications listed on the website but no certificate on request.
  • A quote that is all fees and no revenue share.
  • No serial-level report, only a weight ticket.

FAQ

What certifications should an ITAD vendor have?

At minimum, NAID AAA for data destruction and R2v3 for responsible recycling and reuse. ISO 9001, 14001 and 45001 show mature quality, environmental and safety systems.

What is a Certificate of Destruction?

A signed record that your data-bearing devices were destroyed or sanitized, listing the devices and the method used. Keep it for audits.

Should I get more than one ITAD quote?

Yes. Compare revenue share, reporting detail and certifications side by side, not just the price line.
